The Rate Sheets feature in iShiply.com’s transport management software system gives you clear, transparent, and customizable pricing for every job. Built for distance-based, contract, and special rates, you can easily manage your logistics, courier, and freight pricing. More rate models are coming soon—because every transporter needs flexible transport and logistics pricing!

How Our Rates Work
With rate sheets, you can break down every job into logical pricing components, ensuring you never miss a charge and your pricing stays consistent, fair, and easy to understand for both you and your customers.
Rate Sheet Fields Explained
- Top Field (Rate Sheets Dropdown):
Select, create, or manage your rate sheets. You can set up as many sheets as you need—perfect for different customer groups, contracts, or seasonal rates. - Rate Sheet Name:
Give your rate sheet a clear, descriptive name (e.g., "STD Rates", "Long Haul", "Express Delivery"). This helps you keep your rate sheets organized and easy to find.
Service / Product Rows (Direct from Xero)
- Service / Truck Type:
This field is populated directly from your Xero "Products and Services"—attach rates to any product or service you’ve created for seamless integration between your logistics management and accounting. - Minimum Charge:
The lowest fee that will ever be charged for this Product or Service. If the system calculates a rate below this value, the minimum charge applies, protecting your business from loss on small jobs. - Charge Per Stop:
For multi-stop shipments, this adds a fee for every additional stop beyond the first—covering extra time, handling, and complexity. - Base Rate:
A flat "starting" fee added to every job for this product/service, regardless of the distance. Great for admin, minimum call-out, or booking fees. - Base to Pickup (per distance unit):
The charge per km/mile from your depot/base to the first pickup. You might set this lower since the truck is empty. - Pickup to Last Stop (per distance unit):
This is the freight-carrying distance—your main charge for getting goods from the first pickup to the last drop-off. - Last Stop to Base (per distance unit):
The distance from the last delivery point back to your depot. Again, since the truck is often empty, you might set this rate a bit lower. - Add More Rows:
Add additional Products/Services from Xero to your rate sheet—ideal for mixed fleets, seasonal offers, or special service contracts. - Delete Row (Red X):
Remove a Product/Service from your rate sheet if no longer needed.
Customer Assignment
- Customers assigned to this Rate Sheet (Bottom Field):
Assign as many customers as you want to this rate sheet. Any jobs for those customers will use these rates—making contract pricing and group rates effortless.
Actions
- Update Rate Sheet:
Save your changes instantly. - Delete This Rate Sheet:
Remove the rate sheet completely (cannot be undone). - Cancel:
Discard all unsaved changes.
Shipment Workflow: How Rate Calculations Work
- The system splits the total trip into: base to pickup, pickup to last stop, and last stop back to base—applying your per-unit rates for each segment of the transport route.
- Adds the base rate and any per-stop fees for multi-drop jobs.
- If the calculated total is below your minimum charge, the minimum is used to protect your freight business.
- Only jobs for assigned customers use this sheet; others use different or default rates.

- Can I have different rate sheets for different customers?
Yes, assign as many customers as you want to each rate sheet for contract, group, or special pricing. - Do I have to enter my products/services in two places?
No, your Xero Products and Services sync automatically with iShiply, so you only ever update them in Xero. - What if I want a new rate type (e.g., pallet, hourly)?
Let us know! We're adding more rate models and your feedback is welcome to make iShiply your preferred transport management system. - Can I remove a rate sheet or product row?
Yes, use the red X to delete rows, or "Delete This Rate Sheet" for the whole sheet (cannot be undone). - Where do I get help with rates?
